What this solution does
iTrack Document Registry provides a centralized solution for managing all documents generated within CRM entities: leads, deals, contacts, companies, and quotes. The tool also supports creating document registries from files stored in Bitrix24.Disk.
The main section, All Documents, displays a customizable list containing the following fields: document name and number, document type, creation or modification date, author, status, name and type of the related entity, and standard fields of that entity. The document type is determined by the template name. For documents of the 'invoice' type, statuses are automatically derived from the presence of the word 'invoice' in the template name (paid, unpaid, awaiting payment, partially paid). For all other types, the available statuses are 'signed' or 'unsigned'.
The functionality includes search and filtering capabilities for each listed field.
The 'Document Registry' module groups documents by CRM entities such as deals, contacts, companies, leads, and proposals. When viewing a deal, the system displays documents created within that deal as well as documents linked to related entities.
Documents can be deleted directly from the list. Each document supports detailed viewing, including a preview and a full PDF version.
Features include printing, emailing, and downloading documents in PDF or DOCX formats. Documents can be displayed with or without signatures. Public link activation is also supported.
Template editing allows uploading new templates, renaming them, linking to CRM sections, managing access rights, changing the country association, and switching registries.
Document editing enables changes to the document number, generation date, total deal amount, document title, item quantity, and client details.
Users can fill in and edit their company's details.
The list view provides detailed access to entities including leads, deals, contacts, companies, and proposals.
The module supports document status management and displays a list of all registries.
A registry is a list of documents grouped by a common numbering sequence. Documents are displayed within registries generated based on the selected document numbering sequence.
Creating a registry
A custom registry is required to export documents from Bitrix24.Disk. When creating a registry, you must specify its name and the path to a folder on Bitrix24.Disk (existing or newly created). For documents created this way, information about related CRM entities is not displayed. The "Document Type" field for these documents always shows the value "Document from Disk".
