What this solution does

The 'Meeting Calendar' module extends the functionality of the Bitrix24 calendar, providing tools for planning and tracking employee training activities. It supports the organization of trainings, excursions, master classes, and other educational events, either automatically or manually. Employees can view the schedule, compare it with their personal calendar, and sign up for convenient time slots. The system's ability to record participation allows managers and HR specialists to monitor the learning process and evaluate results.

Planning for training, meeting schedules, and conference room booking are now integrated into a single interface.

The module enables managers to:

- plan training events for company staff;

- track employee participation in training.

For employees, it provides a unified tool for working with the meeting calendar, training event schedules, and conference room booking.

Activities

The BaikalITG Calendar module enables the creation of activity types: training sessions, excursions, and briefings. Responsible personnel are assigned: trainers, guides, and instructors.

Rules for activity completion are configured for specific job roles and/or departments, specifying recommended annual periods and the frequency of recurring completion.

Learning plans are generated for the entire organization, individual departments, or specific employees based on these rules.

Schedules are managed via the calendar: a responsible user creates an event, allowing required employees to view it and register.

Learning control tracks completion status for plans, departments, or individual employees. During an activity, the owner marks participants, which records their completion in the system and removes them from the list of required activities.

The calendar functionality supports linking meetings to groups and projects.

When creating meetings, specify a link to a group or project for quick search and schedule generation. For the location, select a conference room from the list to check availability, or enter the address as text without booking the room.

Role model:

Event Author — the user who created the meeting. By default, becomes the Event Owner, but can edit or cancel only their own events.

Event Owner — the user who initiated the meeting. Can edit or cancel all meetings where they are listed as the Owner.

Participant — a user invited to the event.

External Participant (Guest) — a user from outside the organization.

Module Administrator — a user with full rights to create, edit meetings, activities, and training plans, as well as to view reports. Roles are pre-set and editable.

Activity Owner — the user responsible for conducting the activity. Can create events within that activity.
