Stop Lists in Bitrix24 Business Processes: How to Filter Spam and Preserve Real Leads

The September Bitrix24 help documentation describes automation for managing the customer database. I explain where stop lists are useful and why they cannot replace duplicate detection.

On September 15, 2026, Bitrix24 updated its help documentation for the 'Customer Database Management' node group. In addition to triggers for creating contacts or companies, it now includes an action to add a client to a stop list. This action uses a phone number or email address to prevent the automatic creation of new leads and deals based on that data.

This is a useful tool for recurring spam. However, for a regular customer who contacts the company a second time, it could result in a lost sale. Therefore, I would not recommend starting your configuration with a rule that says 'number repeated — block it'.

A repeat contact is not the same as a duplicate.

A person might be clarifying a previous order, purchasing for a different branch, or placing a new order. In B2B, a single shared phone number is often used by multiple employees. A formal match of contact data does not explain the intent behind the inquiry.

Duplicate records must be handled separately: link the history to the existing client and select the correct deal. A stop list solves a different problem—it stops the automatic creation of inquiries based on specific contact details. It cannot be used to replace proper database management.

Who Should Be Allowed to Apply Blocks

Before automating, clearly define spam indicators with concrete examples. A supplier's promotional blast, an accidental call, and an irritated customer represent three distinct scenarios. The last case is especially easy to mishandle if staff mark inconvenient inquiries as junk.

For borderline cases, human review is essential. Every decision must record the reason and the responsible person. A month later, another manager should be able to understand why a familiar phone number no longer generates leads.

How to Validate a Rule Before Activation

Gather a small test sample: obvious spam, repeat purchases, shared corporate numbers, and applications with corrected email addresses. Verify that the process makes different decisions where business logic requires it.

Separately, ensure the team knows how to locate mistakenly blocked contacts and restore them using standard portal tools. If the recovery procedure is unknown to anyone, the automated rule should not be launched without supervision.

Handling New Customers

The contact creation event itself is useful for internal tasks: notifying the responsible person, verifying card completion, and determining the next step. However, it does not always imply the person's consent to receive any outgoing messages.

Instead of immediately sending a chain of emails, assign the manager a single task with the lead's context. The task should include the source, the area of interest, and the response deadline. This way, automation helps clarify the inquiry rather than simply increasing the number of sent messages.

Which metric demonstrates the benefit?

Calculate the time employees spent on clearly irrelevant inquiries and the number of false blocks after deployment. Reviewing the triggered rules is especially useful in the first few days. A zero queue of new leads may indicate either a clean database or a broken lead capture system.

A well-configured stop list remains invisible to genuine buyers. Managers are less distracted by spam, while returning customers continue to appear in the CRM along with their full history.
