Bitrix24 Can Respond to Emails and Chats: How to Set Up Useful Notifications

On September 18, 2026, Bitrix24 updated the description of the 'Customer Communications' node group. The new builder allows you to create processes around incoming emails, calls, the first message in an open line, and other communication events. Updates are rolled out to portals gradually.

A useful scenario starts with the question: what should an employee do after an event? Notifications for the sake of notifications quickly become background noise. An automated message to a client without considering previous conversations can ruin even a well-started sale.

First Message: Who and When to Reply

Consider a service company. A visitor writes to the chat in the evening, but the responsible manager has already finished work. Creating a single task assigned to them is not enough: the client still waits in an empty window.

You must define working hours, the handover procedure, and the response deadline in advance. These are requirements for your process, not a ready-made promise from a single node. If there is no on-call team, it is more useful for a person to see the honest time of the next response than a formal 'we are already working on your request'.

Incoming Email: New Case or Continuation of an Existing One

The documentation describes a trigger that responds to a customer's email. This can serve as a starting point for further actions. However, within a single discussion thread, one email often supplements the previous one: a person might first send a question and then attach a photo.

Before launching, decide when a separate task is required and when updating an existing one suffices. Otherwise, active correspondence will bloat the task queue. Managers will end up closing reminders instead of addressing the actual inquiries.

Opening an email does not confirm the client's decision.

Among the described events are email views and link clicks. Such signals help identify the right moment to act, but they do not confirm price agreement, contract signing, or readiness to pay for an order.

I would not move a deal to a financially significant stage based solely on such an event. A meaningful result requires a concrete fact: client confirmation, payment, or a signed document. Otherwise, the sales department report will show progress that has not yet occurred.

A complaint must be reviewed by a human.

Responding to specific keywords in a chat can speed up escalation of problematic inquiries to a manager. However, a short message is ambiguous: the word 'refund' appears in both complaints and routine questions about purchase terms.

Therefore, automation should handle prioritization and routing, while the employee evaluates the situation. The notification must provide conversation context and a clear next step. Simply echoing an alert word into a general chat is insufficient.

How to verify that communication has decreased while value has increased

Before launching, run several test dialogues from start to finish: a follow-up email, a message sent at night, a response to an absent manager, and a question already resolved. Ensure the client does not receive duplicate answers from different scenarios.

After launch, compare the time to a substantive response and the number of forgotten inquiries. An increase in notification volume is not an achievement in itself. Good automation reduces the number of things a manager must remember and gives clients fewer reasons to ask again.
