Export is available, but the migration is not ready: what to check before choosing a store service

A product file does not guarantee the preservation of relationships, images, or field meaning. We examine a small test set and the costs that should be clarified before connecting.

The service description includes an Export button, making the future migration seem resolved. A year later, the store receives a product file, but the next team does not understand which variants the photos belong to or how to link order rows to the catalog. The file is downloaded; the work to restore the meaning of the data has only just begun.

Before choosing a service, it is useful to check the ability to continue working with data outside of it. For this, you need a small authorized set, an agreed export composition, and verification by the receiving party. The presence of a file confirms the issuance of a file. The ability to transfer is confirmed by the preservation of required entities, relationships, and values in another environment.

Start with what the store cannot lose

The list depends on the task. For migrating the storefront, products, variants, categories, attributes, images, and page addresses are important. For replacing the order processing system, you also need the composition and statuses of orders, links to products, payments, and shipments in the required volume. There is no need to promise a full migration if the new system does not support some of these entities at all.

Record the purpose of each set. Order history may be required for manager operations, analytics, or solely for a dedicated accessible archive. These options create different requirements. An archive readable on request is not equivalent to an active order in a new store. Sometimes this is an acceptable limitation, but it must be decided in advance.

Personal data and secrets are not added to a test export for realism. Synthetic records with the same relationship types are sufficient to verify the format. The actual transfer of live data is performed by responsible specialists under a separate authorized plan.

Relationships matter more than pretty column names

Consider a sample set: one blanket model, two color variants, and an order for one of those variants. The model and each variant have their own stable identifiers. The order must preserve the link specifically to the purchased variant, not just the name "Blanket". If the export retains only names, matches and subsequent renaming turn the transfer into a manual investigation.

The same applies to reference tables. The number 7 in the status field makes sense only with a description of what it means. A date without a coordinated time zone can alter the order of events during migration. A price without currency and sales unit is poorly suited for further use. What is needed are field descriptions, permissible values, and rules for empty values, not just an expanded file.

W3C recommendations for data publication separately address formats, metadata, and access methods. The same principle is useful for an internal store project: the recipient must understand how to read the information and what it signifies. This is not a requirement to publish commercial data publicly.

A link to a photograph is not a photograph that has been transferred yet

The export may contain an image address from the old service. As long as the account is active, the image opens, and the test appears successful. After the service is disconnected, the address may stop working. Therefore, it is necessary to clarify separately what is being transferred: independent files, temporary links to retrieve files, or only links to the previous storage.

If media must move to a new storage, verify the ability to retrieve allowed files and maintain links to product cards and variants. Do not automatically assume all accessible images are free to migrate: usage rights and specific material restrictions must be checked separately. The technical assessment includes volume and transfer method, not just the number of product lines.

Request a small sample set for reproduction

When discussing a platform change, it is useful to agree in advance on a test set: a model with two variants, different attributes, an image, one synthetic order, and its significant links. Let the receiving team explain which fields they loaded, what they transformed, and what remained outside the scope. A full-scale production migration is not needed for such an evaluation.

The test itself must be performed in an isolated environment with authorized data. This article does not contain migration commands and does not claim that any specific service has already passed such verification. Results are recorded by entity: product restored, variant linked, image accessible without the old account, required order composition readable. Losses and manual actions are listed separately.

Testing a small set establishes format clarity and core relationships. It does not prove the completeness of a bulk export, performance, or the absence of discrepancies during concurrent changes. For an actual migration, separate checks of the entire volume, change freeze rules, and result verification are required. Pagination in the technical API is just one of such tasks.

Include the cost of selection in the total

Two services may have the same monthly price but different workloads during migration. In one, the required export is included in the available tariff; in the other, its composition and preparation are agreed separately. Do not attribute these conditions to all products of the same type: request a written description of the specific variant and the verification date.

To evaluate, record the costs of data retrieval, transformation, media transfer, link verification, and team work during the transition period. If the total is currently unknown, note which constraint it depends on and who can clarify it. The fact that a service depends on a provider does not make it bad: some constraints may be a reasonable fee for a needed function.

The choice becomes informed when the store knows what it can take, in what format, and what will need to be rebuilt. A good answer to the migration question is a small, reproducible result and a list of boundaries. The phrase "we have an export" remains only the beginning of this conversation.
